Reception/Administration Learner – Fragrances
Purpose
Receive visitors and phone calls so that all callers/visitors are dealt with promptly, courteously, and accurately.
Responsibilities
Visitors
- Greet visitors and determine the nature of their visit; issue visitor passes and maintain visitor logs; alert appropriate party of visitor arrival or direct visitors to appropriate office, department, or employee.
- Respond to routine inquiries from internal or external sources, for example on the organisation’s location, hours of operation, phone numbers, or email address.
Phone Calls
- Receive phone calls and re-direct callers to the desired recipients.
- Take and distribute accurate messages.
Office/Admin Support
- Book conference rooms and ensure proper equipment is available (projectors, flipcharts, pens, and paper).
- Send, receive, and distribute mail, courier packages.
- Order office supplies, re-stock supply rooms.
Academic Background
